How we collect, use, keep and protect your personal information when you use this website.
Who we are
SmilesByKC.com is the website of Dr. Kristina Corazon Robles, DMD. Appointment requests sent through it are handled by Dr. KC Dental Aesthetic Center ("the clinic", "we", "us"), Unit 102, Ground Floor, MCS Tower, Chino Roces Avenue, Brgy. Pio del Pilar, Makati City (Makati Central Square).
The clinic is the personal information controller responsible for your information under the Data Privacy Act of 2012 (Republic Act No. 10173), its Implementing Rules and Regulations, and the issuances of the National Privacy Commission.

What we collect
When you request an appointment through this website, we collect:
- your name, email address and mobile number
- your preferred date and time, and the service you need
- any concerns you choose to describe. These may include health information, which the law treats as sensitive personal information, so please share only what is needed.
- the date and time you agreed to this policy
If clinic staff add your appointment after a phone call or walk-in, they record your name, mobile number, the service and the agreed schedule, and your email address if you give it.
We do not ask you to create an account, and we do not collect payment details through this website.
Why we use it, and on what legal basis

We do not use your information for marketing, profiling or advertising. We do not make decisions about you by automated means.
Who can see it
Only Dr. KC and authorized clinic staff, each signing in with their own account. Staff can see requests only as needed for their work, and only the clinic owner can export or delete them.
We share your information only:
- with service providers that host this website and send our emails, who process it only on our instructions and under agreements that require them to protect it, as the law requires for outsourced processing
- when the law, a court or a government authority requires it
We never sell, rent or trade your personal information.
Storage outside the Philippines
Our hosting or email providers may store or process information on servers outside the Philippines. When they do, we remain responsible for your information and require protection comparable to that under Philippine law.
Cookies and tracking
This website does not use advertising cookies, tracking pixels or analytics. Its fonts and images are served from our own website, not from third parties. The only cookie we set is a sign-in cookie for clinic staff using the admin area; visitors never receive it.
To protect the booking form from spam, we briefly use your internet (IP) address to limit how many requests can be sent in a short time. It is kept only in temporary memory and is not stored with your request.
Links to Google Maps, Waze, Facebook, Messenger, Instagram and the clinic's own website take you to services that have their own privacy policies.
How we protect it
We use organizational, physical and technical measures to protect your information, including:
- an encrypted (HTTPS) connection between your device and this website
- a private database that cannot be reached from the internet, with private, protected backups
- individual staff accounts with securely hashed passwords and role-based access
- a record of every change made to a request, showing who made it and when
- encryption of the clinic's email account password
If a personal data breach occurs that puts your rights at real risk, we will notify the National Privacy Commission and you within 72 hours of learning of it, as required by the Commission's rules.
How long we keep it
We keep each appointment request, with its staff notes and activity record, for 24 months after the later of your visit date (or preferred date) and the last update to the request. After that, it is deleted automatically from our system.
We delete it sooner if you ask us to, unless we must keep it longer by law or to establish or defend a legal claim. Your dental treatment records at the clinic are separate from this website and are kept under the clinic's patient records policy.
Your rights
Under the Data Privacy Act, you have the right to:
- Be informed about whether and how your personal information is processed
- Access the personal information we hold about you
- Correct information that is inaccurate or incomplete
- Object to processing, including withdrawing your consent at any time
- Erasure or blocking of your information when it is no longer needed, or was processed unlawfully
- Data portability: a copy of your information in a commonly used electronic format
- Damages for harm caused by inaccurate, incomplete, outdated, false, unlawfully obtained or unauthorized use of your information
- File a complaint with the National Privacy Commission (privacy.gov.ph)
Your lawful heirs and assigns may exercise these rights on your behalf if you pass away or become unable to do so.
To exercise a right, contact our Data Protection Officer using the details above. We will confirm your identity first, to protect your information, and respond within a reasonable time. Withdrawing consent does not affect processing done before you withdrew it; if you withdraw it before your visit, we may no longer be able to arrange your appointment through this website.
Children
If the patient is under 18, a parent or legal guardian should send the request and give consent on their behalf.
Changes to this policy
We may update this policy when our practices or the law change. The effective date at the top shows the current version. If a change affects how we use information you already gave us, we will ask for your consent again where the law requires it.
